Data & privacy policy

How we collect, use and safeguard the information you give us.

Effective date: 2026-10-15

Welcome to the website for the New Orleans Traditional Jazz Camp.

This policy explains what the New Orleans Traditional Jazz Camp ("the camp",
"we") collects on tradjazzcamp.com, why, who else sees it, and what you can
ask us to do. Questions: info (at) tradjazzcamp (dot) com.

What we collect

When you register, apply for a scholarship, or fill in your Camper Info
form:
your name, email address, telephone number, postal address, date of
birth, gender, instrument and musical experience, the camp week you ask for,
hotel and meal choices, anyone coming with you, an emergency contact, medical
and dietary needs you tell us about, a headshot, an audition video or a link
to one, and, for a scholarship, the statement you write. For a camper under
18, the name and details of their chaperone.

When you pay: payments are made through PayPal. We receive a note that a
payment was made; we never see your card or bank details.

When you sign in: a record of when you signed in, and which songs and
tutorials you downloaded, so staff can help if something goes wrong.

When you ask a question in the FAQ page's question box: the question you
type, which staff can read.

When you visit: see Cookies and analytics below.

How we use it

To run the camp: to decide on applications, place you in a week and a band,
book hotel rooms and meals, prepare the kitchen and the first-aid kit, make
your badge, print the camp directory, send you your music, and write to you
about camp. We send a newsletter to those who ask for it; every newsletter
has an unsubscribe link. We do not sell or rent your information, and we do
not use it for advertising.

Who sees it

  • Camp staff and the Camp Director, for running the camp.
  • Other campers see the camp directory: each accepted camper's name,
instrument, town and photo, and an email address only if you said yes to
showing it. Telephone numbers are never shown.
  • Faculty see the campers in their bands and lessons.
  • The hotel receives the room list, and the kitchen a list of dietary
    needs. [Confirm.]
  • Services we use, only to do their part:
DreamHost (hosting and email), PayPal (payments),
Google Analytics (how the site is used — see below),
Anthropic (answers to the FAQ question box: your question is sent to
it, together with the camp's public FAQ and information pages, and nothing
from any camper record; and answers written on our forms in a language other than English, which are sent to it only to translate them into English for the camp's staff, with nothing else from the camper's record), and YouTube or Vimeo (videos you link to, and
the video on the home page).
  • The law: if we are required to by law.

Cookies and analytics

The site uses a cookie to keep you signed in, and a short-lived one to bring
you back to the page you were on after resetting your password.

We use Google Analytics to see how visitors use the site — which pages
are read, which questions on the FAQ page are opened, and roughly where
visitors come from — so we can improve it. Google Analytics sets its own
cookies. We use it without advertising features, and it is never used in the
camp's staff pages. It starts when you visit.

You can change your choice at any time with Cookie settings at the foot
of any page, or stop Google Analytics on every site with Google's opt-out
add-on (tools.google.com/dlpage/gaoptout).

Do Not Track. If your browser sends a Do Not Track or Global Privacy
Control signal, we do not load Google Analytics and set no analytics cookies.

Young campers

Campers may be as young as 13. A camper under 18 registers with the knowledge
of a parent or guardian and comes to camp with a named chaperone. We do not
knowingly collect information from children under 13; if you believe we have,
write to us and we will remove it.

How long we keep it

We keep camper records from year to year, so that a returning camper's
details and camp history are there the next time. Health and dietary details
are asked for again each year. If you would like your record removed, write
to us; we will remove it unless we must keep something by law (for example, a
payment record).

Your choices and rights

You can see and correct your own details on your account page at any time,
and choose whether other campers see your email address. You can ask us by
email for a copy of what we hold about you, to correct it, or to delete it.
If you live in the European Union, the United Kingdom or California, you have
these rights under your local law, and you may also complain to your data
protection authority. We will not treat you differently for asking.

Information is stored in the United States.

Security

Information travels to and from the site encrypted, and staff screens need a
password. No system is perfectly secure, but we take care with what you give
us, and we tell you here who else sees it.

Changes

When we change this policy we post the new version here with a new date.
